Terms of Service

Wildwood Camp Companion is a software service designed to help families and groups organize and coordinate camping trips.

Features may include family accounts, camp invitations, family and member photos, camp and campsite information, camp-night scheduling, meal planning and sign-ups, volunteer and job assignments, shirt and item orders, shared camping-item coordination, cost tracking and cost splitting, invoices, payment instructions and payment-related information, optional card-payment integration through an organizer's own Stripe account, group communications, and organizer tools.

Wildwood provides software and coordination tools. Wildwood does not own, operate, manage, supervise, or control any campground, park, trail, campsite, outdoor facility, or physical camping activity.

Camp Companion accounts are intended for adults age 18 or older. Children do not have independent Camp Companion accounts. Parents or legal guardians may include children within a family account.

You are responsible for accurate information and account security. You may not create an account for another person without appropriate authority.

Other families in the same camp may see family name, family members' names and photos, party size, meal and night sign-ups, job assignments, shared-item sign-ups, email address, and phone number. Phone numbers may be displayed as tap-to-call/text links. Wildwood itself does not place calls or send texts.

Other camp participants do not receive access to your account merely because they participate in the same camp.

You retain ownership of content you submit. You grant Wildwood a limited license to host, store, process, reproduce, display, and transmit content as reasonably necessary to provide, secure, maintain, and improve the Service.

Photos are stored in private storage. Authorized signed-in users associated with the applicable camp may view them. Temporary signed links expire after approximately one hour.

Wildwood respects intellectual property rights and responds to notices of alleged copyright infringement in User Content, such as uploaded photos, that comply with the Digital Millennium Copyright Act (DMCA).

To submit a takedown notice, send the following to malindawalters@wildwoodroots.com with the subject line “DMCA Notice”: identification of the copyrighted work claimed to be infringed; identification of the material claimed to be infringing and its location within the Service; your contact information; a statement that you have a good-faith belief the use is not authorized; a statement, under penalty of perjury, that the information in the notice is accurate and that you are authorized to act on behalf of the copyright owner; and your physical or electronic signature.

Wildwood may remove or disable access to material identified in a valid notice and may terminate accounts of users determined to be repeat infringers, in each case as it deems appropriate.

Organizers may configure camps, invite families, manage meals, nights, jobs, orders, shared items, costs, invoices, communications, and card-payment settings. Organizers are responsible for information and decisions they enter or make.

Wildwood may calculate and display amounts owed, amounts spent, cost allocations, and invoices based on user-entered information. Wildwood does not independently verify those amounts.

An invoice may be available in the user's authenticated account. Some invoices may also be available through a link without sign-in. Invoice links expire by default after 30 days, although an administrator may configure a shorter or longer period.

Anyone with an active invoice link may view that specific invoice. Sharing it does not provide access to the user's account, family account, camp roster, other invoices, Stripe information, or other account features.

Camp Companion does not hold, transmit, settle, or distribute user funds. An organizer may connect the organizer's own Stripe account and enable card payments for a camp.

The restricted integration permissions are: Checkout Sessions—Write; Charges and Refunds—Read; Payment Intents—Read; all other permissions—None. The app cannot move money, issue refunds, or change Stripe account settings.

Stripe processes the card transaction and funds go directly to the organizer's Stripe account. Wildwood does not receive campers' full card numbers.

Wildwood may receive limited reconciliation data including a masked/last-four representation of the organizer's key, live/test status, account label, amount, fee, reference code, transaction IDs, receipt link, and date.

The organizer is responsible for refunds and payment disputes. Wildwood is not a bank, payment processor, merchant of record, escrow service, custodian, or money transmitter.

Organizers may provide Venmo, Zelle, PayPal, or other payment instructions. Those payments occur directly between users and the applicable payment service. Wildwood does not process, hold, or guarantee them.

• Do not use the Service for unlawful, fraudulent, abusive, or deceptive purposes.
• Do not impersonate another person or misrepresent authority.
• Do not upload content that violates another person's rights.
• Do not attempt unauthorized access.
• Do not disrupt the Service or introduce malicious code.
• Do not misuse another person's contact information, photos, invoices, or camp information.
• Do not create fraudulent invoices or unauthorized payment instructions.

Camping and outdoor activities involve inherent risks. Users are responsible for evaluating conditions, permits, reservations, rules, preparation, and safety. Wildwood does not supervise physical trips or guarantee campground conditions or safety.

The Service relies on third parties including hosting/database/authentication infrastructure, email delivery, Google Fonts, and Stripe when enabled. Third parties have their own terms and privacy practices.

The Service and Wildwood-provided software, design, branding, text, and graphics belong to Wildwood or its licensors.

The Service is currently offered without a Wildwood service fee. Wildwood may introduce fees or paid features in the future and will provide applicable terms before charging. Features may be modified, suspended, or discontinued.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICE IS PROVIDED “AS IS” AND “AS AVAILABLE.” WILDWOOD DISCLAIMS WARRANTIES AND DOES NOT WARRANT UNINTERRUPTED SERVICE, ACCURACY OF USER DATA, PAYMENT OUTCOMES, CAMPGROUND INFORMATION, OR SAFETY OF OUTDOOR ACTIVITIES.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WILDWOOD WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, WILDWOOD'S TOTAL LIABILITY WILL NOT EXCEED THE GREATER OF THE AMOUNT YOU PAID WILDWOOD DURING THE PRIOR 12 MONTHS OR $100.

Nothing excludes liability that cannot legally be excluded.

To the maximum extent permitted by law, you agree to indemnify Wildwood for claims arising from your unlawful use, User Content, misuse of another person's information, violation of these Terms, or organization/participation in a trip, except where prohibited by law.

Wildwood may suspend or terminate access to protect users or the Service, address violations, comply with law, investigate security issues, or for legitimate operational reasons. Users may stop using the Service and request account deletion. Camp data may remain until the applicable organizer or authorized administrator deletes it, subject to the Privacy Policy and law.

The Privacy Policy explains collection, use, sharing, visibility, retention, security, and privacy rights and is incorporated into these Terms.

By using the Service, you consent to service-related electronic communications such as invitations, trip updates, invoice notices, security alerts, support responses, and policy updates.

We may update these Terms and will update the effective date. Continued use after an effective revision constitutes acceptance to the extent permitted by law.

These Terms are governed by California law except where applicable law requires otherwise.

Any mandatory arbitration, class-action waiver, or specific venue provision should be added only after California counsel review.

If a provision is unenforceable, the remainder remains effective.
